1. Define the assignment
- Entity or client reference, service and reporting period.
- Purpose, intended recipient and agreed scope or exclusions.
- Preparer, reviewer and client approver.
- Agreed delivery date and any separately verified statutory deadline.
- Official source and date last checked where a legal requirement is relevant.
Keep a client delivery date separate from a statutory due date. This template supplies neither deadlines nor form-selection advice.
2. Record what is ready
For each item, note its location, version or date, responsible person, review status and reviewer comments.
- Engagement scope and exclusions.
- Source records for the period.
- Reconciliations and exceptions.
- Prior submissions and acknowledgements.
- Draft deliverable and approval evidence.
- Final deliverable and submission evidence.
Keep confidential records in the agreed secure workspace. Do not put access credentials or client documents in a public copy of this template.
3. Resolve open issues
For each unresolved question, identify the missing information, who can resolve it, the effect on the deliverable and the next review date. Mark assumptions explicitly. Do not treat an unavailable record as a clean result.
Example of a useful handover note
Illustrative only: The reconciliation is prepared, but the supporting statement for the stated period is outstanding. The assigned owner will obtain it before the reviewer confirms completion.
4. Close the handover with evidence
The receiving professional should confirm the scope, records received, unresolved items and next action. Record completion only when the agreed evidence is available. An internal status of complete does not by itself establish statutory compliance or government acceptance.
Prepare a service-specific brief
- Income tax return filing: agree the taxpayer, period, income categories and reconciliation scope.
- Company annual filing: agree the entity, financial period, relevant approvals and records to review.
- Trademark work: agree the applicant, mark representation, intended goods or services, and search or filing scope.
These prompts identify the brief; they do not determine eligibility, forms, deadlines or legal conclusions.
